A filled example: arriving at Ocean Breeze

This fictional example shows how to turn vague instructions into a short arrival note. Adapt the details to your own property.

Welcome to Ocean Breeze Apartment! Check-in starts at 3 PM local time. Use the side gate beside the blue planters, then follow the path to the door marked Ocean Breeze.

Your parking space is marked OB. Your personal door code is in your private booking message. If the door does not open, message your host through the booking app.

Once inside, the Wi-Fi details are on the card by the kettle and in your guest guide. Check-out is at 11 AM. Please close the windows and leave the keys on the kitchen table.

Notice the visible landmark, named parking space, private access instructions and backup contact. Those details are more useful than “check in as usual.”

Turn the template into a guide guests can use

1. Fill in the arrival essentials first. Confirm check-in and check-out times, the exact entrance, parking, Wi-Fi and how to reach you.
2. Check the details at the property. Follow your appliance instructions yourself. Check map destinations and emergency information instead of copying an unverified number.
3. Match your booking listing. Use the same pet, smoking, visitor and departure rules guests saw before booking.
4. Choose how to share it. Paste into a document for a printable booklet, or copy the relevant sections into a Stayfolio guide. This download is a text template, not an automatic import.
5. Test as a guest. Open the published link on another phone, check the password and map links, and scan the printed QR before leaving it at the property.

Printed booklet, PDF or digital guide?

A Stayfolio guide can be edited without replacing its QR code while you keep the same property and URL. Deleting the property breaks that link; unpublishing makes the guide unavailable.

Welcome book questions

What should an Airbnb welcome book include?

Start with host contact, Wi-Fi, check-in, parking and check-out. Add house rules, appliance instructions, a few local recommendations and verified emergency information. Include details guests need during their stay, with arrival essentials easy to find.

Is this template free to use?

Yes. You can copy, adapt and print it for your rental without registering or paying. Stayfolio also offers one free digital property guide. The optional Premium upgrade costs $19 once per property, plus applicable taxes, for color options and branding removal.

How long should a welcome book be?

There is no required length. Use enough detail for guests to complete each task, with short headings and steps. Put the entrance and Wi-Fi near the beginning; let guests browse local recommendations later.

Can a QR code connect guests directly to Wi-Fi?

A Wi-Fi network QR can do that on supported phones. Stayfolio currently creates a guide QR that opens a web page with a copyable password. It is not a direct-connect Wi-Fi QR. Print the network and password as a fallback for guests without mobile data.

Can I use this for Vrbo or direct bookings?

Yes. Adapt the template to the information in your own listing and the way you contact guests. Stayfolio is an independent service and is not affiliated with Airbnb or Vrbo.
